The Essential Client Authorisation Forms

30th May, 2024

Buying or selling a property in Queensland or New South Wales can be an exciting yet complex process. To ensure a smooth transaction, completing a Client Authorisation Form (CAF) and a Verification of Identity (VOI) check are now essential requirements. Below is a concise guide to understanding these key steps and what is required from you as a client.

A Client Authorisation Form is necessary for all conveyancing transactions. It allows us to electronically sign transfer documents on your behalf in the PEXA Workspace. This form is crucial for facilitating the digital process of property transactions.

When completing the VOI, you will need to match identification documents to one of the following below categories:

Category Minimum Document Requirements
For Persons who are Australian citizens or residents:
1 Australian Passport or foreign passport

plus Australian drivers licence or Photo Card

plus change of name or marriage certificate if necessary

2 Australian Passport or foreign passport or Australian Evidence of Immigration Status ImmiCard or Australian Migration Status ImmiCard

plus full birth certificate or citizenship certificate or descent certificate

plus Medicare or Centrelink or Department of Veterans’ Affairs card

plus change of name or marriage certificate if necessary

3  Australian drivers licence or Photo Card or Australian Evidence of Immigration Status ImmiCard or Australian

Migration Status ImmiCard

plus full birth certificate or citizenship certificate or descent certificate

plus Medicare or Centrelink or Department of Veterans’ Affairs card

plus change of name or marriage certificate if necessary

You will receive a link to electronically sign the CAF through DocuSign or we attend to this at your initial appointment. This ensures that all necessary documents are processed quickly and securely.

The VOI process is essential to confirm the identity of all parties in the transaction, ensuring the legality and preventing fraud. Here’s what you need to provide for the VOI process:

  • Personal Details: Your full name, address, phone number, and email address.
  • Identification Documents: A 100-point ID check is required, usually entailing a passport and driver’s license, if available.
  • Completion and Confirmation: You will need to provide copies of your identification documents to us.

PEXA (Property Exchange Australia) is an online platform that facilitates electronic lodgement and settlement of property transactions. By using PEXA, we can streamline the process, reducing paperwork and enhancing transaction security.
